Rosewood Primary School transforms printing with sustainable solution

Rosewood Primary School in Burnley partnered with Key Digital to help them transition from an ageing, high‑cost print setup to a modern, sustainable, and cost‑effective solution aligned with the school’s environmental values and evolving operational needs. Working closely with the school’s Bursar, Key Digital delivered a smooth, strategic migration from their existing Riso contract to new Epson Heat‑Free technology – improving reliability, reducing costs, and supporting the school’s long‑term sustainability goals.

Introduction

Rosewood Primary School is a forward‑thinking, sustainability‑driven school that had already taken major steps to reduce paper usage and modernise communication. When they approached Key Digital, they were still tied into a costly Riso contract but were keen to explore greener, more efficient alternatives. The school needed a partner who could guide them through the transition, provide reliable devices, and support their commitment to environmental responsibility.

Situation

The Bursar explained that the school was mid‑contract with Riso. While print costs were competitive, the lease cost was extremely high, and the devices frequently jammed – especially when using 75gsm paper, which the school preferred for cost reasons.

The school’s priorities included:

  • Reducing paper usage where possible
  • Improving sustainability
  • Ensuring devices could reliably handle 75gsm paper
  • Maintaining booklet‑making capability
  • Ensuring strong, responsive maintenance

The Bursar was impressed by Key Digital’s sustainability message and promotion of Epson’s Heat‑Free technology, and was keen to explore options that aligned with the school’s environmental ethos.

Solution

Key Digital recommended a 60ppm Epson multifunction solution that met the school’s sustainability goals, reduced energy use, and offered far greater reliability than the existing setup. The Heat‑Free technology appealed immediately, especially as it handled 75gsm paper without the jamming issues they were experiencing. The proposed devices matched their needs for A3/A4 printing, booklet production, and scan‑to‑USB, while also providing a more cost‑effective lease structure.

The Bursar was confident the recommended devices would comfortably support print volumes, and appreciated the reassurance around strong local service and dependable engineer support. Key Digital helped them to navigate the notice period on the existing contract and plan installation for late June or early July, ensuring everything was ready before the summer break. After sharing the proposal with the Headteacher, both agreed it was the right solution, and the paperwork was agreed in advance so preparations could begin.

Key elements of the solution included:

  • Heat‑Free Epson technology for lower energy use and reduced environmental impact
  • 60ppm performance suited to the school’s workload
  • Reliable handling of 75gsm paper to eliminate frequent jams
  • A3/A4 multifunction capability with booklet‑making features
  • Scan‑to‑USB functionality for flexible staff workflows
  • Local service and support for fast, dependable maintenance

Outcome

The project delivered a smooth, well‑timed transition:

  • Epson devices were installed before the summer break, exactly as planned
  • PIN codes were set up for secure staff usage
  • Full staff training was arranged for the start of the new term

The school immediately benefited from:

  • Lower running costs
  • Reduced energy consumption
  • Improved reliability
  • Increased uptime
  • A more sustainable print environment

Since the initial installation, Key Digital has continued to support Rosewood Primary by replacing legacy off‑the‑shelf devices as needed, strengthening the long‑term partnership.
