Streamlining Home Instead franchise operations with a scalable Managed Print Solution

Introduction

Key Digital partnered with Carescot Ltd t/a Home Instead Senior Care Glasgow North, part of the nationwide Home Instead franchise network, to modernise their print infrastructure across multiple care locations. With Home Instead franchises increasingly focused on reducing operating costs, improving workflow efficiency, and lowering carbon footprint, the organisation was an ideal fit for Key Digital’s print solutions.

Situation

An initial outreach email was sent to the Glasgow North franchise after Key Digital successfully supported several other Home Instead directors with workflow and efficiency improvements. Early conversations revealed:

  • There was a managed print requirement across multiple operating sites
  • The existing devices were costly, inefficient and not aligned with sustainability goals
  • The franchise was operating six sites, with plans to open four more within the next year
  • The decision‑maker confirmed that their current spend was high and that Key Digital’s initial findings report would represent a clear saving

The only concern was the proposed 5-year lease term, so Key Digital offered a 3-year alternative to align more closely with existing budget forecasts.

As discussions progressed, a strong preference was expressed for the Heat‑Free Technology range, recognising the long‑term benefits for both cost control and environmental impact.

Solution

After further consultation, Key Digital proposed:

  • 3 × Heat-Free A4 multifunction devices
  • 3-year lease rental plan
  • 10,000 free prints included
  • Flexible expansion options to support future branch openings
  • Loan devices were provided at short notice when their existing printers were collected earlier than expected

This approach ensured:

  • Immediate continuity of service
  • Predictable quarterly billing
  • Reduced administrative burden
  • A scalable print fleet ready to grow with the organisation

Key Digital also committed to reviewing pricing should additional devices be required as new branches open.

Outcome

The project progressed smoothly:

  • Paperwork was quickly completed via e‑signature
  • Prompt delivery and installation were arranged across the three initial sites
  • Responsive support following the provision of loan machines
  • After two years of reliable service, Carescot requested an additional device for a new site
  • Key Digital arranged fast delivery and ensured the new device matched the existing fleet for consistency and ease of management

Today, Carescot operates a unified fleet of Epson Heat‑Free devices, benefiting from:

  • Lower energy consumption
  • Reduced operating costs
  • Minimal maintenance requirements
  • A scalable print infrastructure aligned with growth plans
