Background
Spectus are a leading manufacturer of high-performance PVC-U window and door systems. As part of the broader Epwin Group, Spectus plays a vital role in supplying sustainable, high-quality fenestration solutions to the UK market.
Their existing print infrastructure, primarily comprising purchased hardware with consumable-only models, was becoming costly and cumbersome to manage. With eye-watering costs spent annually on purchasing toner cartridges alone and a growing need for enhanced security and sustainability, Spectus began exploring the benefits of switching to a Managed Print Service.
The Challenge
Spectus had not yet formalised a transition strategy when Key Digital was introduced, but it was agreed that a Managed Print Service would bring potential savings and efficiency gains. Initial engagements revealed:
- A fragmented print fleet across three sites
- A mix of legacy devices nearing the end of life
- A lack of “follow-me” or secure print capability
- High spend on consumables
- Minimal sustainability alignment with their broader supply chain goals
The Solution
Key Digital responded with a consultative, transparent approach. Following discussions with key IT stakeholders, Key Digital performed a detailed print audit and cost analysis.
Highlights of the audit report included:
- Consolidation of the print fleet from numerous under-utilised devices to 22 high-efficiency MFDs
- Seamless integration of PaperCut print management software to enable secure PIN-based release and reduce waste
- Sustainability-focused hardware with low energy consumption and minimal environmental impact
- Tailored device placement to suit both office and shop floor environments, optimising productivity without over-specification
- Planning for future buyout of legacy devices to enable full transition without disruption
In addition, Key Digital invited Spectus’ IT team to our HQ and showroom for live demos. This visit showcased the fast print output, intuitive user interface and sustainability credentials that would underpin the proposed solution.
“Key Digital took the time to truly understand our print environment and delivered a tailored solution. The focus on sustainability made them stand out from the competition. We’re excited to roll this out across our sites and potentially the wider Epwin Group.”
– Stuart Adkins, IT Infrastructure Manager
The Outcome
Spectus has now agreed to move forward with Key Digital’s MPS rollout. The new solution will be in place ahead of their current contract expiry, ensuring a smooth transition. Key benefits expected include:
- Significant monthly savings
- Reduced print volumes through intelligent fleet design
- Enhanced security and GDPR compliance via secure release
- Significant time and resource savings for the internal IT team
- Scalable model for potential future rollout across the wider Epwin Group
Looking Ahead
The IT manager and the wider team have expressed strong confidence in Key Digital’s offering, with next steps including full software training and agreement on lease settlements for the remaining devices.
The potential to extend this partnership across other Epwin Group companies – many of which operate trade counters with legacy A4 devices – presents a compelling opportunity for further cost reduction and technology enhancement.
